Terms of Service
These Terms of Service (“Terms”) govern your access to and use of ezComp (the “Service”), operated by Event Management Systems LLC (“ezComp,” “we,” “us”). By using the Service, you agree to these Terms.
1. Service Scope
ezComp is a competition management platform built for show choir competitions in the United States only.
2. Accounts and Eligibility
Accounts are not self-created. Accounts are issued upon request for Choir Directors, Show Choir Judges, and Parent Volunteers. Directors are manually approved after a review process to verify identity.
3. Roles and Permissions
- Hosts can set up and execute their show choir competition.
- Directors can access their scores, written feedback, and audio feedback (as available for the event).
- Judges can score and provide feedback, and may initiate audio recordings where enabled.
- Volunteers can view assigned shifts and “check in” for shifts in the system.
Hosts can remove directors/judges/volunteers and change event permissions for their event.
4. User Content and Uploads
The Service may allow users (primarily Hosts) to upload or provide content such as schedules, logos, files, and other materials (“User Content”). You represent you have the rights to upload and share this content.
You grant ezComp a limited, non-exclusive license to host, store, reproduce, and display User Content solely to operate the Service and deliver event functionality to authorized users.
5. Audio Recordings and AI Transcripts
Where enabled, judges may initiate recordings. The Host owns the recording. Transcripts are generated automatically using AI and may contain errors.
Access to audio and transcripts may be available to ezComp staff, the Host, attending Directors, and Judges, subject to role permissions and event configuration.
You are responsible for complying with any laws and policies regarding recording and consent.
6. Tabulation, Results, and Disputes
ezComp provides tabulation of results directly. The Service is provided on a best-effort basis.
If there is a scoring dispute, the Host is responsible for final decisions.
7. Fees, Billing, and Refunds
Hosts purchase an annual license for $600/year. Directors, judges, and volunteers do not pay fees. We will work to rectify system issues and may offer refunds at our discretion.
8. Acceptable Use
You agree not to misuse the Service, attempt unauthorized access, disrupt systems, or violate laws or third-party rights.
9. Disclaimer
THE SERVICE IS PROVIDED “AS IS”.
10. Limitation of Liability
To the maximum extent permitted by law, ezComp is not liable for indirect, incidental, special, consequential, or punitive damages. ezComp’s total liability is limited to the amount paid by the Host for the then-current annual license term.
11. Host Indemnification
Hosts agree to indemnify and hold ezComp harmless from claims related to event content/operations, including logos, uploaded files, and music/performance rights.
12. Governing Law and Venue
These Terms are governed by the laws of Minnesota. Disputes will be handled in state or federal courts located in Minnesota.
